Reading & Math, Inc., is a national non-profit and AmeriCorps partner dedicated to helping more children attain grade-level reading and math proficiency. It also works to address critical gaps in economic opportunity and other emerging social issues. To maximize program effectiveness and help as many people as possible, the staff needed a better and more efficient way to manage and share information both internally and externally. This was vital for attracting and stretching grant and donation dollars as far as possible and for continued growth. Standing in the way were spreadsheet-based processes and disparate systems that made data access, tracking, and reporting so time-consuming that information was often out-of-date upon delivery.

"As an organization, we're dedicated to making data-driven decisions," says Ryan Kjesbo-Johnson, Information Systems Manager at Reading & Math, Inc. "To manage our programs effectively and continue to expand our work on a broader scale, we needed a better way to track, report, and demonstrate the value of all that we do."

The Solution

  • Quick Base as a centralized hub for seamless data tracking and reporting
  • Simplified and automated processes for higher productivity
  • Standardized, easy-to-use platform for faster adoption
  • New Quick Base features to fuel innovation

In 2015, Kjesbo-Johnson began to see opportunities to rely more on Quick Base to drive higher productivity and program visibility. The first step was to consolidate data from multiple systems onto the three small Quick Base apps the organization already had. From there, he was able to automate manual processes such as calculating training percentagessomething that had previously been done manually from piles of printed spreadsheetsto meet grant specifications across different sites. Since then, the team has expanded its use of Quick Base functionality to drive even more robust applications.

"Quick Base is a platform that enables us to unleash our creativity for the greater good," says Kjesbo-Johnson. "We also like that it continues to evolve, empowering us with new capabilities like increased Zapier functionality for our integrations; Quick Base Actions to simplify our app consolidation project; and the Rich Text Field feature that lets us customize the text in our forms."

The Benefits

  • Support for new programs and continued expansion to other states
  • Hundreds of hours recouped from manual processes that can be reinvested in the mission
  • More effective grant presentations and proof of ROI to help ensure a steady stream of funding
  • Real-time insight into programs for improved management

Quick Base has played an important supporting role in Reading & Math's growth as a technology-enabled non-profit. The organization now serves people in 12 states and the District of Columbia, partnering with over 1,200 schools and educational facilities. Kjesbo-Johnson has also trained four new Quick Base app buildersgiving staff and other stakeholders the tools they need to be more productive, informed, and supportive.

With less time spent on manual processes, staff members can handle more caseloads more effectively. The ability to quickly prepare grant requests and reports that clearly validate spend against results helps bring in more money. Program managers no longer need to go from system to system to get the information they need to help guide impressive results. And with access to an agile database development platform, the organization's Quick Base builders can quickly address problems, support new and existing programs, and scale as needed.

"Our tutoring models are becoming the gold standard as we continue to grow into more states," says Kjesbo-Johnson. "Being nimble is very important to our mission and Quick Base can, and does, help us drive that forward."
