A little while ago, two managers at Stiefel Laboratories, a GSK Company were struggling with an SAP tool that required a half dozen people to manage and always took a few days to make the most minor changes.  The company was losing time and money just trying to manage the solution – and important project deadlines were being missed. The evaluation team, which consisted of Ricardo Bartra and Todd Cash at the time – knew they needed a Software as a Service (SaaS) product that would help the EPMO (Executive Program Management Office) more effectively deliver their projects.

Following a quick Google search, QuickBase appeared. Both had used Intuit’s TurboTax product before and had confidence in the proven Intuit brand – immediately they knew they had stumbled across the right solution.

Starting With An EPMO Application

Within less than a week - the team had signed up for a trial, got a demo, customized their application and decided to buy the online database software. Quickly becoming the solution for all of their EPMO efforts, QuickBase was used to manage the largest projects at Stiefel. You can check out Todd's application in the video below. Their intent was to expand usage globally; but the business needs changed when GlaxoSmithKline (GSK) acquired Stiefel last summer. The objective of the EPMO quickly changed overnight from managing large IT projects to managing all transition efforts.

Moving To a Transition Application

QuickBase now is used as the Transition Office application – used for tracking every office location, managing all contacts, scheduling all transition related meetings and their minutes, including attendee lists. A QuickBase dashboard has even been established to chart the various sites in 26 different countries by functions – tracking percentage complete, site status and health of projects.

Todd Cash, US application manager for Stiefel commented, “We can give our IT teams all over the world access to specific information in the QuickBase – whether they are in Asia Pacific, South America or across Europe. The real strength of QuickBase is its ease of use and speed – we can add a field, change a field, switch a report around as soon as the request comes in.” Instead of waiting days or weeks for field or application changes, Todd can tweak the Stiefel applications within minutes.

“The proof is in the pudding - look at how quickly we changed the main EPMO app into an Acquisition Transition application.”
