Consolidate Workflows Inside Quickbase With Extensions

Most teams using Quickbase are also running a separate e-signature platform, a document generation tool, emails going out from Outlook, and texts going out from somewhere else entirely. Teams complete the work but keeping it moving means managing where everything lives across a disconnected stack.
Quickbase Extensions consolidates document creation, e-signatures, messaging, and mapping directly inside the apps where work already happens. On June 17, Sam Trachy, Senior Product Manager, and Keith Jusas, Product Advisor, hosted "Beyond the Basics Leveraging Quickbase Extensions to Transform Workflows." The webinar focused on walking admins and builders through all nine extensions, with a spotlight on the three newest additions: PDF Merger, PDF Stamper, and Package Builder.
Quickbase Extensions Help Teams Cut Tool Sprawl
Extensions bring proven capabilities into Quickbase without adding new tools. Sam Trachy opened the session by drawing a clear line on what the acquisition changed and what it didn't: "We're not reinventing the wheel. These are proven capabilities the teams have relied upon for years with Juiced."
What changed is the infrastructure. As Sam explained, "You don't have to add complexity to your tech stack. You're able to reduce it with fewer tools, less friction." Nine extensions now ship in a single bundle, all available at every pricing tier. What changes across tiers is transaction volume, covered below. Here's how your workflow changes when everything runs inside Quickbase.
How Extensions Consolidate Work Across Four Core Areas
Quickbase Extensions cover document generation, messaging, e-signature, and mapping. Since Quickbase acquired Juiced Technologies, the bundle has continued to expand. With the recent addition of PDF Stamper, PDF Merger, and Package Builder, teams now have more ways to generate, update, assemble, and route documents directly from Quickbase.
Generate Documents Without Leaving Quickbase
Exact Forms Plus generates Word or PDF documents from Quickbase data in a single button click. It supports watermarks, barcodes, password protection, and bulk generation. Teams commonly use it to create invoices, proposals, contracts, and license agreements.
XL Docs works the same way as Exact Forms Plus, with Excel as the output format. You can create pivot charts, bar charts, and custom Excel formatting. Output can also be saved as PDF or CSV.
PDF Stamper (new) solves a specific problem: Some documents can't be rebuilt from scratch. Government forms, compliance paperwork, and industry-standard contracts, such as W-9s, I-9s, OSHA reports, and AIA documents, have rigid layouts that must stay exactly as-is. Word templates won't work here. PDF Stamper lets you keep the original PDF and pull data from Quickbase directly into it through fillable fields or X/Y coordinate placement. The form stays intact; Quickbase fills it. This helps teams complete fixed-format documents faster while keeping required layouts intact and Quickbase as the source of truth.
PDF Merger (new) is for teams that end up with a pile of different files — a Word proposal, an Excel quote, a scanned image, a signed PDF — that all belong together. PDF Merger converts each file to PDF and merges them into one output in a single step. Files can come from the same record or a related table, so it works even when attachments are stored separately. It also accepts documents generated by native Quickbase document generation, not only files produced by other extensions. For teams that manage documents across multiple records, files, and formats, PDF Merger helps turn scattered attachments into one complete, ready-to-share PDF.
Package Builder (new) is the right tool when a complete document package requires running multiple extensions in sequence: Generate the proposal with Exact Forms Plus, produce the supporting spreadsheet with XL docs, combine everything with PDF Merger. Without Package Builder, an admin would trigger each step manually. Package Builder handles the sequence automatically. For teams with repeatable document processes, Package Builder helps standardize the full sequence, so the right files get created, combined, and delivered with fewer manual steps.
Send Emails and Texts From Quickbase Records
Courier sends emails directly from your own mail server (Office 365 or Gmail). It supports file attachments, multiple recipients, controlled reply-to settings, and bulk sends from reports. Emails can be triggered by a Quickbase event, sent on demand, or scheduled.
Text My Quickbase handles two-way SMS messaging tied to Quickbase records. Field teams receive messages and reply back; Quickbase captures and stores every response. It requires a verified campaign through third-party provider eSendex.
Collect Signatures Inside Quickbase
JuicedSign collects legally binding, Part 11-compliant e-signatures without leaving Quickbase. It can accommodate up to 10 sequential signers, copy recipients, and draw signatures.
See Quickbase Records on a Live Map
QB Maps plots Quickbase records from a single table or across multiple tables on a live Google Map. Teams can add driving directions and use latitude/longitude coordinates for more precise location data. Each map can display up to approximately 800 locations.
All four categories point to the same outcome: fewer tools, fewer handoffs, and less manual coordination across the workflows that teams manage in Quickbase.
How Transactions Work Across Tiers
All nine extensions are included at every pricing tier. Pricing scales by transaction volume:
Tier | Annual Price | Pooled Transactions | Plan Availability |
|---|---|---|---|
Core | $3,600/year | 25,000 | Business |
Pro | $10,000/year | 500,000 | Business & Enterprise |
Enterprise | $20,000/year | 1,000,000 | Business & Enterprise |
Transaction counts vary by extension and use case. For a detailed breakdown of how each extension counts transactions, visit the Extensions Transaction Counts guide. Your account team can help model expected usage for the right tier.
How To Get Started
For existing extensions bundle customers: PDF Merger, PDF Stamper, and Package Builder are available now. Log into the Quickbase Extensions Portal to confirm that all three appear. Teams that don't see the new extensions should contact their account rep to have them enabled.
New to extensions? Start here:
- Try the extensions trial to test all nine in your own Quickbase apps.
- Log into the Extensions portal and confirm access to all nine extensions, including the three new ones.
- Visit the Help Center for setup wizards and configuration guides for each extension.
- Contact your account team to map your expected transaction volume to the correct tier.
Extensions Office Hours run every Tuesday at noon ET. Join for product-specific questions, setup help, and examples of how other teams are building with extensions. The full session, including Keith's live demo of all nine extensions, is available on demand.
