Populating field in Master table from Details record
Actually, I think that I recently accomplished this in a tricky application.  Let me try to explain how it works.

You have an Equipment Table and a Calibration record table.  You goal is to locate the calibration record for that piece of equipment that was entered most recently - ie has the highest record ID#, and from THAT record bring back the next calibration date into the Equipment record.

Set up a normal Relationship where ONE Equipment is related to MANY calibration records.  You already have done that.

Create a Summary field of the MAXIMUM record ID number.  Great, we are a step closer - your Equipment table now knows which calibration record has that elusive piece of into - the calibration date field.

Create a new relationship backwards where ONE calibration record is related to MANY equipment records.  The key field to the calibration record is just the usual record ID#.  The field that you will use in the Equipment table on the MANY side of the relationship is the Maximum record ID# field that you just created with that summary field.

Guess what, you can now select a lookup field of the calibration date on the many side of the relationship off the calibration record, and your Equipment record now has the calibration date from the calibration record with the highest record ID  # - which will "trump" any older (lower record ID#) calibration records that you now consider outdated, even if they suggest other calibration dates.

Post back if it works for you.  I was quite pleased with myself when I got this to work and that QuickBase did not complain that I was doing something illegal with the relationship going somewhat in circles.

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
