Realms: Limit Application Access to "Approved" Users

Note: This topic is for Realm administrators only. QuickBase realms can be set up only on accounts that have purchased a QuickBase Enterprise plan.  If you have a QuickBase Team account, or if you do not have a realm, you don't have "approved" users. But you can easily control application access.

Say your realm contains an application that stores sensitive data. Of course, you can protect this information using QuickBase roles, but if your application lives within a QuickBase Realm, then you have an additional high-level permissions feature in your bag of tricks. Within a realm, you assign each user an approval status. You can specify that only users with the highest approval status ("approved") should ever access a particular application. This is a handy way to specify that only users in your company should ever see information in that application (this is especially easy if you authenticate with LDAP, as LDAP updates your list of approved users automatically).

Note: Only the application manager (not the realm administrator, nor the account administrator) has direct control over this access setting.

To limit application access to "approved" users only:

  1. Open the application you want only approved users to access.

  2. Select Customize > Application Properties.

  3. Within the Permissions section, locate the Realms Approval entry.
    Note: If you don't see this item, your application is not part of a realm account.

  4. Turn on the Only "approved" users may access this application checkbox.

  5. Save your changes:

Only users with approved status are now able to access the application.
