Often, you'll want to keep track of what your colleagues have been up to within your QuickBase application. To help you keep on top of changes, QuickBase features a handy tool that automatically tracks updates and marks the changes for you: flags.
Flags mark records and applications that have changed since the last time you cleared flags (you'll read how to clear flags in a minute). For this reason, different users see flags in different places.
Note: Application administrators
may choose to hide flags for an application.
If this has been done for an application you use, the
and
icons mentioned below will not appear,
and the user-level menu options to clear New and Updated flags will not
be shown. Also, users may choose to hide flags for all their applications,
for themselves only. Flags are hidden by default for new QuickBase users.
The
icon appears only on
the My QuickBase page and indicates that
an application has been modified or new entries have been added to an
application since you last cleared flags. When you open an application,
additional markers next to each record show you which ones have changed:
appears within
application reports beside records that have been added since you last
cleared flags.
appears within
application reports to mark records that have been modified since you
last cleared flags.
If you want to use flags to see changes, first pick a start time. In other words, clear flags when you want to begin tracking changes. For example, to see changes made during a given day, you should clear flags first thing in the morning. That way, you'll know that all flags you see later indicate updates that were made that day.
Flags are set on a per-user basis. In other words, when you clear flags, you clear them only for yourself, not all users of the application. You can clear flags in your entire QuickBase world (all application and on My QuickBase too), just for a single application or a single table.
To clear flags:
To clear all flags throughout all applications and on My QuickBase: Go to the My QuickBase page. From the menu above of the applications list, select Tools > Clear Flags. QuickBase warns you that the operation will clear ALL your flags. Click OK.
To clear all flags within a specific application: From the menu on any application page, select Customize > Clear your 'New' and 'Updated' flags. Then select all reports and click OK.
To clear flags in a specific table: Select Customize
> Clear your 'New' and 'Updated' flags, choose only
reports for a particular table, select the table and click
OK. Or, display a report
of records in that table. Within the menu at the top of the records
list, select Other > Clear the "New" and "Updated"
flags.
Tip: If you want to view only the new or changed entries in a particular table, click the table name and choose the List Changes report. QuickBase displays only records that were modified or added since you last cleared the flags.
Clearing the
and
flags only works until something changes in your application, then they
start appearing again. Do you or your application's users find the flags
distracting? As a user or an application administrator, would you like
to hide those pesky flags? Now you can.
To hide flags for all of a user’s applications:
If you are a QuickBase user, you can choose to hide flags in
all your applications. This feature hides the flags only for you.
On the upper right any QuickBase page, click your name. Within the
menu that displays, select Edit User Profile. Click
the Edit User Preferences link, and check the Hide
option. This option is checked by default for new users.

To hide flags for all users of a single application:
If you are an application administrator, you can choose to hide
flags for all users of your application. Select Customize
> Application, then on the left side of the Settings
tab, click Advanced Settings. Select the Hide
the new/updated icons for all users option, and click Save
Changes. This setting overrides the user-level preference
to show flags, and hides the menu options to clear flags as well (since
they aren't shown, they don't need to be cleared).
