Create a Reminder

Have QuickBase send an email to you two days before your assignment is due. Remind the whole staff that the Project finish date is in 5 days. You can even let someone know that a due date has passed by sending an "overdue" reminder. If you want, specify additional conditions under which the missive should go. For example, only send a reminder if the Status field is set to "open."

Note: You must have Full Administration access to an application in order to create and edit reminders. (Application Managers: Read what Full Administration is and how to grant it.)

  1. In the menu bar on any application page, select Customize > Create a new > email reminder.

  2. If your application has multiple tables, click the name of the table for which you'd like to create a notification.

    Select the table that contains the date field you want to trigger the reminder. For example, say you want to create a reminder to let users know a task is due, you'd select the Tasks table here. If the reminder should warn of a Project end date, you might select a table named Projects.

  3. Select a recipient.

  4. In the Remind Whom drop-down list choose the field whose value contains the user to whom you want the reminder to be sent. This will be a user field. For example, select a field like Assigned to field or Project Lead. When your reminder is triggered (a task's due date is two days away, for example) QuickBase sends an email to the user listed in this field for the task in question.

  6. Set conditions for the reminder.

    If you want, you can set specific conditions under which QuickBase should send the message. For example, you may want to specify that QuickBase should send the reminder only if the status is Incomplete. To set a condition, go to the Additional Criteria section and click the Select a field... dropdown. Then, within the other dropdowns that appear, set the specific criteria. (You set criteria here just as you would in the report builder's matching section.)

  7. You may customize the email's Subject and Message by typing text in those fields. Or, if you like the text that QuickBase has come up with, make no changes.

  8. To see what the reminder email looks like, click Preview on the upper right of the Reminder configuration form.

  9. Click Save.
