Our Knowledge Base covers a wide variety of technical topics, from the basic to the complex.
How can I track who changes a record, beyond the single "Last Modified By" built-in field, which only keeps track of the most recent edit?
While QuickBase only displays the name and a time/date stamp of the most recent person who has changed a record, you can use a text field with the append only option turned on to keep track of changes made to the record.
Step 1. Add a Text - Multi-line field. To learn how, please see our Add a New Field help topic.
Step 2. Enter the field properties for your new text field. To learn how, please see our Change the Properties of a Field help topic.
Step 3. Within the field properties, check the box called Log entries. For more on this setting, please see our Use Append Fields help topic.
Step 4. Create a form rule to detect field changes when the record is saved, and write some information to the append-only field you created. For more information on this kind of form rule, please see our Rules that fire when a record is opened or saved help topic.
Congratulations! You now have a field that records the name with a time/date stamp of each person who has edited a record.
